Terms of Service
Terms of Service
Last updated: September 11, 2026
These terms govern your use of arcfilmhouse.com, our client portal, and the video production services provided by Arc Film House (“we,” “us,” or “our”), a video production company based in Augusta, Georgia.
By using our website, accessing our client portal, or engaging us for production work, you agree to these terms. If you do not agree, please do not use them.
Questions go to privacy@arcfilmhouse.com.
Our services
We provide video production services, including story-based commercials, brand films, and branded documentaries. The specific scope, deliverables, timeline, and price for any project are set out in a written proposal or contract. That signed agreement governs the project. Where it conflicts with these general terms, the signed agreement wins.
Nothing on our website is an offer or a guarantee of availability, pricing, or results.
The client portal
We provide a client portal where you can view proposals, sign contracts, pay invoices, schedule meetings, and exchange files and messages with us. Access is granted to you for your own business use in connection with your project.
You agree to:
- keep your login credentials confidential and not share them with people outside your organization
- tell us promptly if you believe your account has been accessed by someone else
- use the portal only for legitimate business communication with us
- not attempt to access other clients’ information, interfere with the portal’s operation, or probe it for vulnerabilities
We may suspend or revoke portal access if these terms are breached, or when a project has concluded and the records are no longer needed.
Proposals, acceptance, and payment
Proposals remain open for the period stated in the proposal, or 30 days if no period is stated.
Accepting a proposal through the portal indicates your agreement to the services and prices selected. Where a contract is required, work begins after that contract is signed and any required deposit has been received.
Invoices are payable on the terms stated on the invoice. Payments are collected through our client portal by Assembly and processed by Stripe. Your card or bank details are handled by them directly — we do not receive or store them. Late payments may pause work on a project and may incur interest at the rate stated in your signed agreement.
Deposits are non-refundable once production has been scheduled, because scheduling reserves crew and equipment that we cannot resell on short notice. Cancellation terms for a specific project are set out in that project’s agreement.
Scheduling
Where our portal offers meeting times, those times reflect our current availability and are held for you once booked. We ask for reasonable notice if you need to cancel or move a scheduled meeting or a production date. Rescheduling a confirmed production date may incur costs, which will be set out in your project agreement.
Ownership of work
Your materials. Anything you provide us — logos, brand assets, scripts, footage, product, premises access, or personnel likenesses — remains yours. You confirm you have the right to give it to us and to let us use it in the project.
Our work. Ownership of the finished deliverables transfers to you on final payment, on the terms set out in your project agreement. Until payment is complete, we retain ownership.
Raw footage and project files. Unless your agreement says otherwise, raw footage, project files, and working assets remain ours. We archive them indefinitely as a matter of practice, though we do not guarantee any particular retention period, and we can provide or license them separately on request.
Our portfolio. Unless your agreement restricts it, we may show completed work in our portfolio, on our website, and in social media and award submissions. If a project is confidential, tell us and we will put that in writing.
Third-party licenses. Music, stock footage, and fonts used in a project are licensed for the uses described in your agreement. Using deliverables beyond those uses may require additional licensing, which is your responsibility.
Confidentiality
We treat non-public information you share with us — business plans, unreleased products, financial details, strategy — as confidential, and use it only to do your project. We ask the same of you regarding our pricing, methods, and any materials we share with you.
Third-party services
Our portal and business systems rely on third-party providers, including Assembly, Stripe, Intuit QuickBooks, and Google. Your use of the portal is also subject to those providers’ terms where applicable. We are not responsible for outages, errors, or changes in those services, though we will work in good faith to resolve any problem they cause you.
Disclaimers
Our website and portal are provided as they are. We do not warrant that they will be uninterrupted or error-free.
We deliver production services with reasonable skill and care in line with professional standards. We do not guarantee any particular business result — views, engagement, leads, or revenue — from any video we produce.
Limitation of liability
To the extent permitted by law, our total liability arising from any project or from your use of our website or portal is limited to the amount you paid us for the project giving rise to the claim.
We are not liable for indirect, incidental, or consequential losses, including lost profits, lost business, or lost data.
Nothing in these terms limits liability that cannot be limited by law.
Termination
Either of us may end a project on the terms set out in the signed agreement. On termination, you pay for work completed and costs committed up to that point, and we deliver what has been paid for.
We may terminate portal access immediately in the case of misuse, non-payment, or unlawful activity.
Governing law
These terms are governed by the laws of the State of Georgia, without regard to conflict of law rules. Any dispute will be brought in the state or federal courts located in Richmond County, Georgia, and both parties consent to that jurisdiction.
Changes
We may update these terms as our business changes. The date at the top reflects the most recent revision. Changes do not affect projects already under a signed agreement.
