Privacy Policy
Last updated: September 11, 2026
Arc Film House (“we,” “us,” or “our”) is a video production company based in Augusta, Georgia. This policy explains what personal information we collect, why we collect it, who we share it with, and how you can ask us to remove it.
If you have questions about anything here, contact us at privacy@arcfilmhouse.com.
Who this policy covers
This policy applies to people who contact us about video production work, clients who use our client portal, and visitors to arcfilmhouse.com. It also covers the private software integrations we operate to run our business, including our connection to QuickBooks Online.
What we collect
Information you give us directly. Your name, business name, email address, phone number, mailing address, and any details you share about a project when you contact us, fill out a form, respond to a proposal, or communicate with us by email or phone.
Project and contract information. Proposals, statements of work, signed contracts, production schedules, shot lists, and related project records.
Billing information. Invoices, amounts, payment status, and payment history. We do not collect, see, or store full credit card numbers or bank account numbers. Card and bank details are entered directly into our payment provider’s systems and are never visible to us.
Portal activity. When you use our client portal, we record when you open a proposal, which pages you view, and which steps you have completed (selecting services, signing a contract, paying, scheduling a meeting). We use this to know where a project stands and to follow up appropriately.
Scheduling information. When you book a meeting with us, we record the date and time you selected and your contact details so we can hold the appointment.
Website information. We do not run analytics or advertising trackers on arcfilmhouse.com. Our web host keeps standard server logs, which may include IP addresses and browser information, for security and troubleshooting. The site uses only cookies necessary for it to function.
Why we collect it
We use this information to respond to inquiries, prepare and deliver proposals, produce the work you have hired us to do, issue and collect invoices, maintain accurate accounting records, schedule meetings, and meet our legal and tax obligations.
We do not sell your personal information. We do not share it with advertisers, and we do not use it to build profiles for marketing to people outside our own client relationships.
Service providers we use
We run our business on third-party platforms. These providers process information on our behalf, under their own privacy policies:
- Assembly — operates our client portal, proposals, contracts, e-signature, and billing, and collects payments on our behalf. https://www.assembly.com/privacy
- Stripe — processes card and bank payments underlying Assembly’s billing. https://stripe.com/privacy
- QuickBooks Online (Intuit) — our accounting system of record. https://www.intuit.com/privacy/
- Google Workspace — our business email, calendar, and file storage. https://policies.google.com/privacy
- Bluehost — hosts arcfilmhouse.com. https://www.bluehost.com/privacy
Our QuickBooks Online integration
We operate a private software integration between our client portal and our own QuickBooks Online company file. This integration is used only by Arc Film House for its own accounting. It is not offered to, installed by, or available to any other business.
What it accesses. Customer records, invoices, payment records, and product or service items within our QuickBooks company.
What it does. When a client pays the deposit on their proposal, the integration creates a matching customer record (if one does not already exist), creates the corresponding invoice, and records the payment against it in QuickBooks. This removes the need for us to re-enter and reconcile those transactions by hand.
What it does not do. It does not read or transmit data belonging to any other QuickBooks company. It does not share QuickBooks data with any third party. It does not use QuickBooks data for advertising, analytics, resale, or model training.
Where the data goes. Information flows between our client portal and our QuickBooks company only. Access credentials are stored securely and are used solely to maintain this connection. We can disconnect the integration at any time, which immediately revokes its access.
How we protect information
Access to our client portal, accounting system, and email is restricted to Arc Film House personnel who need it. Accounts are protected by strong, unique passwords stored in a password manager. Integration credentials are stored as encrypted secrets and are not shared. Data transmitted between our systems and our service providers is encrypted in transit.
No system is perfectly secure, and we cannot guarantee absolute security. We will notify affected individuals promptly if we become aware of a breach involving their personal information.
How long we keep it
We keep client records, project files, contracts, and financial records for as long as we have an ongoing relationship with you, and afterward for as long as needed to meet our legal, tax, and professional obligations. Financial records are kept for a minimum of seven years.
Because completed productions are often revisited — for re-edits, new cuts, archival requests, and portfolio use — we retain project media and related records rather than deleting them on a fixed schedule. If you would prefer your information removed, see the section below; we honor deletion requests except where the law requires us to keep a record.
Your choices
You can ask us to:
- tell you what personal information we hold about you
- correct information that is wrong or out of date
- delete your personal information
- stop sending you marketing email
Send any of these requests to privacy@arcfilmhouse.com and we will respond within 30 days. We may need to keep certain records — signed contracts and financial transactions in particular — where the law requires it, and we will tell you if that applies to your request.
Depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act or the GDPR. We honor those rights regardless of where you are located.
Children
Our services are for businesses. We do not knowingly collect personal information from anyone under 18.
Changes to this policy
We may update this policy as our business or the tools we use change. The date at the top reflects the most recent revision. Material changes will be communicated to active clients directly.
